The cardholder\u2019s issuing bank instructs your processor to remove the dollar amount from your account and your processor mails you a chargeback notification.<\/p>\n<div class=\"notice notice-danger\"><strong>Important:<\/strong> Each time you receive a chargeback, your processor charges you a fee. To view our recommendations about how to prevent chargebacks, see <a href=\"how-can-i-avoid-chargebacks\/\" target=\"blank\" rel=\"noopener noreferrer\">How can I avoid chargebacks?<\/a><\/div>\n<h3>How do I respond to a chargeback notification?<\/h3>\n<div class=\"notice notice-danger\"><strong>Important:<\/strong> Do not refund the cardholder for the transaction when you receive a chargeback notification. Refunding the cardholder doesn\u2019t resolve the chargeback. If you refund the cardholder, you may be financially responsible for the refund and the dollar amount of the chargeback.<\/div>\n<ol>\n<li>Follow the instructions on your chargeback notification.<\/li>\n<li>Respond by the date on your chargeback notification.<\/li>\n<li>Provide evidence of the cardholder\u2019s actions and evidence of your actions, for example:<\/li>\n<\/ol>\n<ul>\n<li>Order forms<\/li>\n<li>Receipts<\/li>\n<li>Contracts<\/li>\n<li>Invoices<\/li>\n<\/ul>\n<h4>Example evidence of the cardholder&#8217;s actions<\/h4>\n<ul>\n<li>Transaction receipt signed by the cardholder<\/li>\n<li>Evidence that proves the cardholder agreed to the transaction<\/li>\n<li>Letter or email from the cardholder admitting they purchased the goods as seen<\/li>\n<li>Evidence that the cardholder didn\u2019t comply with your cancelation policy or return policy<\/li>\n<\/ul>\n<h4>Example evidence of your actions<\/h4>\n<ul>\n<li>One or more undisputed transactions from other customers for the same goods or services<\/li>\n<li>Transaction receipt showing you issued a refund to the cardholder before they disputed the transaction<\/li>\n<li>Evidence explaining multiple transactions<\/li>\n<li>A list of the services you provided<\/li>\n<li>Evidence of attempts you made to repair or replace goods or services<\/li>\n<\/ul>\n<p>For examples of evidence that is specific to your merchant type, see the following:<\/p>\n<ul>\n<li><a href=\"what-can-a-keyed-entry-or-moto-merchant-do-to-avoid-chargebacks\" target=\"blank\" rel=\"noopener noreferrer\">Keyed-entry or MOTO merchants<\/a><\/li>\n<li><a href=\"what-can-an-e-commerce-merchant-do-to-avoid-chargebacks\" target=\"blank\" rel=\"noopener noreferrer\">E-Commerce merchants<\/a><\/li>\n<li><a href=\"what-can-a-retail-merchant-do-to-avoid-chargebacks\" target=\"blank\" rel=\"noopener noreferrer\">Retail merchants<\/a><\/li>\n<li><a href=\"what-can-a-recurring-billing-or-service-based-merchant-do-to-avoid-chargebacks\" target=\"blank\" rel=\"noopener noreferrer\">Recurring billing or service-based merchants<\/a><\/li>\n<\/ul>\n<h3>What happens when I respond to a chargeback notification?<\/h3>\n<p>The issuing bank reviews your response and decides if your evidence is sufficient.<\/p>\n<ul>\n<li><strong>The evidence is sufficient.<\/strong> You receive the dollar amount for the transaction.<\/li>\n<li><strong>The evidence isn\u2019t sufficient.<\/strong> The cardholder receives the dollar amount for the transaction.<\/li>\n<\/ul>\n<p>If you disagree with the issuing bank\u2019s decision and you still want to dispute the chargeback, the issuing bank continues the process with a second chargeback.
